Drowning in your to-do list, but can't afford the full-time help? Try a Virtual Assistant!

Your to-do list looks like the Manhattan telephone directory, and you know you desperately need some help. You not only have no space in your small office for another person, you don't have the cash flow to add a full-time staffer to your payroll. What's a business owner to do?

Consider hiring a virtual assistant. A virtual assistant (known as a VA) is a professional service provider who specializes in remote administrative office support (a VA doesn't even need to be in the same time zone as a client). He or she is an independent contractor who can offer you key support without ever needing to set foot inside your office. A VA's skills are varied and can include everything from administrative tasks to data management and customer support. In many cases, a VA can also provide additional specialty services such as human resources, accounting or marketing. A superior virtual assistant will come well equipped with a phone system, Blackberry, high-speed Internet access, fax, scanner, printer and whatever office systems and software are required for his or her specialty.

Some VAs operate independently in their own business; in other cases, VA firms act as a liaison between clients and VAs by coordinating payment and providing training and resources to VAs. VAs can be contracted at competitive rates ($30-$50 an hour) for short-term projects or for a fixed number of hours per week or month with a negotiated retainer. Typically, you will call or e-mail your VA first thing each morning and discuss a task schedule, which may be as complex as creating a new PowerPoint presentation or as simple as making lunch  reservations and sending a few e-mails out to prospects. During the course of a day your VA might be taking care of business travel arrangements, establishing a PR campaign for clients or developing your website or blog. You may also ask for a progress report from your VA so you can get a sense of where he is in his workload, and see if it needs to be adjusted accordingly (and to see if your VA is accomplishing tasks in your expected time frame). You should not expect your VA to be available for staff meetings, nor expect instant availability every time you call (parameters should be established at the outset regarding how frequently you expect phone calls and e-mails to be returned).

A good VA can free up a business owner's time, allowing the owner to focus on what really matters: growing the business, developing new product ideas or taking that much-needed vacation.

Evidently I've been living under a rock. Recently, I stumbled across the small business solution that turned my overwhelming to-do list into something manageable. It's called Virtual Assistance, and it has freed me from the burden of what would otherwise be time-consuming busywork. Simply put, a Virtual Assistant is an off-site employee who provides web or administrative support services, conducting nearly all transactions electronically.

Not only was I surprised to discover this neat lifesaver, I was even more amazed to find that it has it's own association: The International Virtual Assistants Association (www.ivaa.org). The IVAA website is a great place to find what will most certainly be an indispensable resource for you: Your own Virtual Assistant. Below are the top seven reasons to hire a VA:

1. They are all business. Your Virtual Assistant will support your needs, not the other way around. Since they bill their hours for the work they accomplish - some in increments as small as five minutes - you are not paying for personal phone calls, late arrivals, childcare crises, or sick time. If you detest the forced socialization of a corporate workplace, or listening to the humdrum minutiae of your co-worker's life story, a virtual staff solves that problem.

2. You're in control. Your working relationship is based upon a contractual agreement whereby you state in no uncertain terms what you expect. They either do it or they don't. If you want a web designer who uses Dreamweaver instead of hand-coding HTML, then you specify that. Or, you can entirely defer to your Virtual Assistant's expertise and focus your energy elsewhere.

3. Professional rapport. Your Virtual Assistant is in the entrepreneurial boat, too. They work at home, market their services, prospect for clients, and provide a service just like you do. It's a great way to add to your network base, as they may have found ways to solve problems you never even thought of. Often they have their own network of resources that they utilize for printing, document processing and promotion. Tapping into their resources doubles your own.

4. Cost savings. You can hire a VA from anywhere on Earth. It's as competitive an industry as any other, and you can expect a wide range of fees for various services offered. If you like the fees for web design, but think a particular service is too expensive for document editing or proofreading, you can hire multiple VA's to do different tasks to keep your own costs low. You are not under any obligation whatsoever, except, of course, to pay your bill.

5. Pride in their work. If you are hiring a VA for tasks such as web design, you can easily preview their work. Often the VA service will place testimonials on their site or examples of web pages they have designed. Examine their portfolio pages to determine the depth of their skills and experience.

6. Virtual freedom. No on-site employees means no liability, no worker's comp insurance, and no payroll taxes to calculate. Everyone is an independent contractor. You can utilize a virtual assistant for either ongoing work or on a per-project basis.

7. No strangers in the house. If you have a home office, hiring employees to work on-site could be intrusive. If you have children at home, or a spouse who works odd hours, or you just don't care to open up your private space to others, a virtual assistant is ideal. Most likely, your VA will never darken your doorstep.

When you hire your Virtual Assistant, be sure to ask them to furnish a detailed list of the types of services for which you will be billed. Some VA's will charge to accept your phone calls, read your email instructions, or the time it takes to download a file. There should be no surprises if you have good communication with your VA. Remember, you cannot see your potential VA to evaluate their credibility, nor they you. Consider several exploratory conversations prior to signing on the dotted line. This will ensure that you and your Virtual Assistant will have a productive partnership.

For an hourly fee of $15 to $35, less than the cost of temps or employees, agents can take advantage of professional assistance and a variety of skills at the click of a mouse.

Virtual assistants are already computer trained, and can assist with your specific needs from traditional office support services to highly specialized areas including Web page design. Call upon your virtual assistant for basic word processing, phone answering, bill paying, appointment scheduling and calendar maintenance. You can train your virtual assistant to go beyond administrative support to client development and marketing support.

There is no need to share space or even for the agent and the virtual assistant to live in the same city. Work assignments are communicated through e-mail, phone, fax, "snail mail," or diskette. The agent can take advantage of Web-based tools such as instant messengers, like ICQ, and online calendars and planners are often used as a means of keeping in touch. Schedule changes, project reports, or customer-service alerts such as new listings for a client can be performed immediately. The virtual assistant can lend "size" to your company, which will impress potential clients.

                              How to find a virtual assistant

There are several effective ways to find a virtual assistant. Simply enter "virtual assistant" in your favorite search engine. Another solution is to search the directory at www.staffcentrix.com. Staffcentrix is a resource/support company for virtual assistants. You can search the pool of virtual assistants manually, or use the free referral service to search the database for those who most closely match your needs. In the directory, you can learn the virtual assistant's experience level, services provided, software and hardware capabilities, and his/her email, URL address, and other contact information. The International Virtual Assistants Association also has a comprehensive directory of virtual assistants.

Contact the virtual assistant who most closely match your needs via email. Most virtual assistants are used to proving themselves with small projects of an hour or two. Any more than that and they should be paid for their time. You can set up payment arrangements by time or task.
